We start with the person using the report, the decision they need to make, and how often they make it. A weekly capacity review needs a different view from a daily enquiry queue. That conversation keeps the project focused on useful information rather than collecting every available metric.
A useful view might show where enquiries stop progressing, which work is waiting on a handoff, or how completed work compares with planned capacity. The right measures depend on your operations and the decisions your team needs to make.
Agree what the numbers mean before drawing the chart.
Different systems can use the same label for different things. We document definitions, date ranges, exclusions, and the source of each measure. We also look for gaps, duplicated records, and inconsistent categories that could change the interpretation.
A useful report makes its limitations visible. We agree how frequently information should refresh, show the relevant reporting period, and distinguish missing values from genuine zeroes. Where an estimate is appropriate, it should be identified as an estimate rather than presented with false precision.
A connected report your team can use.
Your current spreadsheet or reporting platform may already be the right home. If it is not, we assess a dashboard tool or a custom interface against your access needs, existing systems, and maintenance capacity. A new platform is a decision to justify, not the default deliverable.

We build an initial view with representative data and review it with the team. Can they explain a movement? Can they find the records behind a surprising total? Does the report support the decision we started with? Those questions guide the next iteration.
This work fits teams spending time preparing recurring reports or debating inconsistent figures. If the underlying activity is not recorded reliably, improving that collection process comes first. AI-generated summaries can be an optional aid, with source context and human review; they do not replace checking the underlying data.
